REPORTING HOMEOWNER VIOLATIONS AND COMMON AREA CONCERNS
Our property management company, TWC, performs routine periodic inspections in Glenkirk Estates, for the purpose of making sure that our guidelines are being enforced. We are all concerned with the appearance and safety of our neighborhood. In the meantime, you are encouraged to report any homeowner violations and/or any common area issues that are of concern to you.

The process is simple...please the address/location and the information regarding your concern. Any digital photos you can provide will greatly expedite this process! If you do not receive a reply within 3 business days, please resend the email.

BOARD MEETINGS
The last Board of Directors meeting was held on December 6, 2011.
The next Board of Directors meeting is scheduled to be held on March 6, 2012 at 9:30 am at the clubhouse.
Future meeting dates, times, and locations will be posted above as they become available.
Meeting dates and times are subject to change. Please contact our HOA Management Company (see top of page) for the most current information.

Please note: These meetings are not the annual HOA community meetings, however, Board meetings are open to all homeowners to attend. During these meetings, the Board may occasionally have to adjourn into an Executive Session to discuss delinquencies, homeowner violations, pending legal action, contracts and other matters that require a closed session per our bylaws. Only the Board members, the managing agent, the Association's attorney and the affected homeowner may be present for the Executive Sessions.

DUES
HOA dues are due quarterly by January 1st, April 1st, July 1st, and October 1st of every year. 2012 dues are $275/quarter. Payment coupons are mailed to all homeowners each quarter. Payments may be made by personal check (made out to "Glenkirk Estates"), on-line banking, recurring payments through Smartstreet, electronic funds transfer, or money order. Mailed payments are to be noted with the name, address and account number, and sent with the coupon to:

GRILL USE RULES
The following rules apply to the use of the charcoal grill at our Recreation Center:
CAUTION: May be hot!
Grill may be used by Glenkirk residents only.
Use is on a first-come, first-served basis.
Limit cooking time to 60 minutes.
Shared use is encouraged when possible.
Only charcoal may be used as fuel.
The grill may only be used for cooking food.
Do not remove hot coals after cooking.
Clean up of grill and picnic area is mandatory.
Remove all trash from site.
CALL 911 IN THE EVENT OF AN EMERGENCY.

NEIGHBORHOOD WATCH PROGRAM

ROADWAYS
Please contact the appropriate parties listed below if you have any concerns regarding speeding, traffic signs, parking issues, snow plowing responsibilities, etc.. For a map of Glenkirk Estates divided by section, click here.

For Maintenance:
The older roadways within Glenkirk Estates that have been turned over to the Virginia Department of Transportation (VDOT), fall under the jurisdiction of VDOT for maintenance (to include snow plowing). These are the roadways in sections 1-5 of Glenkirk, Estate Manor Drive, and Rollins Ford Road (from Linton Hall Road to Estate Manor Drive).

The newer roadways within Glenkirk Estates that have not yet been turned over to VDOT, fall under the jurisdiction of our developer for maintenance (to include snow plowing). As of November 2011, these include the roadways in sections 6, 6A, 7, 8, and 9. Sections 6, 6A & 7 are likely to be turned over to VDOT in 2012.

The parking lot of the clubhouse falls under the jurisdiction of our HOA for maintenance (to include snow plowing), for it is private property.

For Law Enforcement:
All roadways within Glenkirk Estates fall under the jurisdiction of Prince William County Police for law enforcement issues.

SNOW DAYS
On days when it snows, PLEASE PARK YOUR VEHICLES IN YOUR DRIVEWAY AND/OR GARAGE. This will allow the snow plows to get through on your street, and will also prevent your vehicle from being blocked-in after the plow has gone by. Feel free to print this memo and place it on the windshield of any vehicles that look like they might interfere with the snow plowing efforts. Also, please remember that you are responsible for shoveling the sidewalk and driveway in front of your house. The unshoveled snow causes the sidewalks to be slippery and hazardous to walk on. In addition, children going to and from school must walk on the street to get around a snowy, icy sidewalk, putting them at risk. Note: The sidewalks along the sides of the Estate Manor Drive homes are done by Glenkirk Estates Homeowners Association and paid for by HOA dues. We appreciate your cooperation.

SOCIAL EVENTS - VOLUNTEER COORDINATORS WELCOME!
If you are interested in coordinating a social event open to Glenkirk Estates residents, please contact Pam Ward at TWC Management at (703) 437-5800 or , to request Board approval for your event. If approved, TWC will offer some administrative assistance, and GEHOA will offer some financial assistance and use of the clubhouse (if available).

TOWED VEHICLES
If your vehicle is in violation of our HOA Declaration of Covenants and/or our Architectural Guidelines, and towed by our HOA Management Company, you should contact Henry’s Wrecker Service at 703-464-5599 to retrieve it. The cost to release a towed vehicle is approximately $90.00 (subject to change), and the towing fees must be paid in cash.
